Executive Assistant – EVP Global Delivery
Miratech · Warsaw
Job description
About the role
Miratech, a global IT services and consulting company, is looking for a highly organized and proactive Executive Assistant to provide primary support to the Executive Vice President Global Delivery. The role also assists the wider delivery leadership team so that client commitments are met and operations run smoothly. It sits at the heart of the delivery organization, keeping internal processes effective, coordinating information between delivery teams, leadership and clients, and aligning delivery priorities with organizational goals.
Key responsibilities
- Manage the EVP's calendar, schedule internal and external meetings across multiple time zones, resolve conflicts, protect focus time and flag urgent requests.
- Arrange and manage all travel, including flights, hotels, transportation and visas, prepare itineraries for client visits and process expense reports accurately and discreetly.
- Act as a point of contact between the EVP, the Executive Committee and delivery teams, routing requests and coordinating distributed teams.
- Prepare materials for Board and Executive Committee meetings, assemble meeting packs, record minutes and track action items through to completion.
- Support the delivery leadership meeting cadence: build agendas, collect and distribute pre-reads, take minutes and follow up with action owners.
- Maintain a consolidated tracker of delivery commitments (milestones, deliverables, escalations, dependencies) and give regular status reports, handling sensitive information with strict confidentiality.
- Perform other duties as reasonably required.
Required profile
- 5+ years in an executive assistant or senior administrative role reporting directly to upper management, ideally supporting delivery, operations or client-facing leadership.
- Demonstrated achievements supporting C-suite and board-level executives, with strong organizational skills.
- Proven experience managing international executive travel and expense administration.
- Experience leading projects end-to-end with accountability for budgets, deadlines and stakeholders, and solid financial acumen, including interpreting P&L statements, balance sheets and key performance drivers.
- Strict confidentiality and discretion with sensitive company and client information.
- Flexible, proactive team player comfortable in fast-paced, high-growth environments and with remote, distributed teams across time zones.
Required skills
- Exceptional written and verbal communication in English; knowledge of Spanish, Ukrainian or Russian is a plus.
- Travel and expense administration.
- Financial literacy: reading P&L statements, balance sheets and business performance drivers.
What we offer
- A comprehensive compensation and benefits package, including health insurance and a relocation program.
- Remote work flexibility.
- Professional development, including certification programs, mentorship, internal mobility and internship opportunities.
- A multicultural, inclusive environment with team-building events.
