Study Site Management Specialist (Site Activation Lead)

About the role

ICON Strategic Solutions is hiring a Site Activation Lead in Warsaw to work in a sponsor-dedicated model, supported by ICON's global expertise. As the world's largest FSP organisation with over 90 sponsor partnerships, ICON offers stability, career development and a collaborative environment. The role advances clinical trial start-up activities by understanding client objectives and helping develop the plan for country and site distribution.

Key responsibilities

• Manage day-to-day site start-up and activation activities, supporting the team to deliver quality outcomes.
• Serve as the primary site contact for assigned sites across end-to-end study activity.
• Take part in all assigned study team meetings and give detailed updates to cross-functional teams on study and site activity.
• Use systems and tools to track assigned activities and produce reports and metrics.
• Collect, track and review documents, gather country and site-level intelligence, and prepare Institutional Review Board/Ethics Committee submissions.
• Support Regulatory Authority submissions.
• Where required, complete, manage and support country and site-specific activities such as import/export licences, radiation board and biobank committee approvals.

Required profile

• Solid site start-up and activation experience, with the ability to manage competing priorities and develop a team.
• Preferred BA/BS degree in Business Administration, Science or a related field, or equivalent work experience.
• At least 2 years' experience in the biopharmaceutical/CRO industry.
• Good understanding of country-level cultural norms and local healthcare systems, and the ability to build relationships with local investigators and site personnel.
• Legal right to work in the country where the role is based.

Required skills

• Proficiency in MS Office (Word, Excel, PowerPoint).
• Strong presentation, documentation and interpersonal skills, and excellent oral and written communication.
• Planning, organisational and time-management skills.
• English and local languages as needed.
