Customer Complaint Specialist

About the role

Key responsibilities

• Register and manage customer complaints accurately and on time, overseeing the full process from registration through classification, root cause investigation, corrective action and final reporting.
• Report incidents to relevant regulatory authorities worldwide and act as the main contact for distributors and regulators on complaints and medical incidents.
• Monitor market requirements, trend reporting and regulatory expectations, and update internal procedures and reporting in line with regulatory changes.
• Track complaint management indicators, prepare statistical reports and supervise trend reporting to spot recurring issues and risks.
• Work with engineering, production and quality control teams to investigate root causes, lead the complaint management team, run root cause analysis meetings and define corrective actions.
• Take part in the CAPA process, initiate CAPAs based on complaint trends and align complaint handling with risk management.

Required profile

• University degree in Quality Management, Engineering or a related field.
• At least 2 years of experience in a similar position.
• Strong quality mindset and attention to detail; assertiveness and a solution-oriented approach.
• English at B2 level or higher.
• Experience in the medical device industry is a plus; knowledge of MDR and FDA requirements is a plus.

Required skills

• Familiarity with ISO 13485 or ISO 9001.
• Quality tools such as 5 Whys, Ishikawa diagram and 8D report.
• MS Office (PowerPoint, Excel).
