Pharma Event Planner (English & German)

About the role

Amex GBT is seeking a Pharma Event Planner to act as the primary liaison for pharmaceutical meetings and congresses, ensuring program objectives are met for global clients. The role involves coordinating all aspects of events, from timelines to supplier negotiations, with occasional travel worldwide.

Key responsibilities

• Develop and manage project timelines, coordinating with clients and suppliers.
• Use the business program management system to oversee contracts, billing, and financial forecasting.
• Negotiate and manage hotel, congress, DMC, air, and third‑party contracts, monitoring attrition dates and cancellation policies.
• Produce detailed program itineraries and working agendas.
• Maintain proactive communication with clients and third‑party suppliers.
• Travel internationally (up to 40% of time) for site inspections and program operations.

Required profile

• 3‑5 years of meeting planning experience, including at least 2 years supporting pharma congresses with 100+ HCP delegates.
• Fluency in English and German.
• 4‑year degree preferred; CMP designation highly preferred.
• Strong ability to meet deadlines, adapt to change, and handle confidential, high‑volume events.

Required skills

• Advanced Microsoft Word

• Experience with meeting industry technology (e.g., CVENT)
