Executive Assistant (Contract) – Warsaw

About the role

We are seeking a proactive Executive Assistant to support the founder of a fast‑growing e‑commerce incubator that operates eight direct‑to‑consumer brands. This full‑time contractor position is based in Warsaw and combines personal assistance, business coordination, and operational support for a high‑performance leadership team.

Key responsibilities

• Manage the founder’s calendar, schedule meetings, and prioritize daily tasks.
• Handle personal and professional communications, including email and messaging.
• Arrange end‑to‑end travel logistics, accommodations, and related services.
• Organise personal documents, health appointments, and lifestyle services.
• Track personal expenses, process payments, and liaise with banks, accountants, and tax advisors.
• Support internal meetings, prepare research materials, and follow up on operational tasks.
• Coordinate activities across the eight brands, including logistics and cross‑functional projects.

Required profile

• Proven experience supporting senior executives in a demanding environment.
• Exceptional organisational skills and attention to detail.
• Ability to work independently, take ownership, and operate under pressure.
• Fluent written and spoken English.
• Based in Warsaw or willing to work on‑site in Warsaw.
