Operations Manager

About the role

Digital Forms is seeking an Operations Manager to act as the organisational backbone of its fully remote team. Reporting directly to the CEO, you will ensure that all administrative, financial and HR processes run smoothly and on schedule.

Key responsibilities

• Oversee daily administrative workflows, including contract creation, signature collection, archiving and invoice processing.
• Manage vendor relationships, track renewals and handle small procurement tasks.
• Coordinate with the external accountant and financial partners to support monthly closing, budget monitoring and equipment purchases.
• Prepare employment contracts, support recruitment activities and maintain HR documentation.
• Book travel, organise internal events and assist in finding office or coworking spaces when required.
• Continuously document, improve and keep up‑to‑date all internal procedures in the Notion knowledge base.
• Provide executive support to the CEO, facilitating communication between teams, vendors and partners, and following up on pending issues.

Required profile

• Proven experience in administration, operations or finance coordination.
• Strong organisational and multitasking abilities with meticulous attention to detail.
• Excellent communication skills in both Polish and English.
• Ability to work independently, set priorities and meet deadlines.
